Part Time Office Administrative Support

Imagine Gymnastics Club Office Administrative Support Position: 

 

Imagine Gymnastics Club is seeking a part-time office administrator. This role is the primary contact between the general public/membership and the gymnastics club. The successful applicant will be required to work on location two to three days per week at each location - Carstairs and Olds.  Carstairs Gymnastics Club 2 - 3 days and Olds Gymnastics Club 2 - 3 days a week. 

 

 

About the Role:

 

  • This position will work 15 to 25 hours per week (to start) corresponding to established office hours.

  • During peak times, it will be necessary to work in excess of 15 hours per week. 

  • Reports directly to the Executive Board and works closely with our Recreation and Competitive head coach.

  • This is an hourly position. 

 

General Responsibilities:

  • Manage and complete registrations for all recreational and competitive programs. 

  • Answer and respond to telephone calls, emails, walk-ins. Manage voicemail.

  • Sort all mail. 

  • Maintain office and cleaning supplies. 

  • Create advertisements for recreational programming and monitor for advertising opportunities. 

  • Conduct regular visual inspections and maintenance of the gym. You will also be responsible for contacting our contractors to schedule appointments for any maintenance that needs to be completed.

  • Assist the General Manager, Recreation Manager, Head Coach and Competitive Administrator where needed. 

  • Staffing and coordinating information to coaches

  • Advertising and marketing of current and new programs

Needs:

  •  Police and vulnerable sectors check

  • Drivers license and reliable vehicle

  • First Aid is a plus

Qualifications and Experience: 

 

  • Must have working knowledge of Google Workplace.

  • Work experience in office procedures

  • Excellent communication skills significant customer service experience 

  • Excellent organizational skills 

  • Flexibility to work irregular and extended hours as required. Able to adapt to change. Professional and pleasant demeanor 

  • Ability to work independently, serving a diverse membership 

  • Highly motivated self-starter and able to work independently and efficiently 

  • Knowledgeable in and have significant experience in administration, coaching certification or understanding of gymnastics would be ideal but is not a requirement of this position. Application Deadline: February 15th 2024

 

Hours of Operation:

 

  • Monday 3:00pm to 8:00pm

  • Tuesday 10:00am to 3:00pm

  • Wednesday 5:00pm to 8:00pm

  • Thursday OFF

  • Friday 4:00pm to 8:00pm

  • Saturday OFF

  • Sunday 10:00am to 4:00pm
